How we use AI

A personal operating system, with AI in the room.

Not a bot collection. A calm, reliable way to run a life — built around the future version of yourself, with AI doing the drafting and the remembering so you can do the living.

What's in it for you

It's 2 a.m. and you're wide awake because…

  • You forgot to email your child's teacher back.

Who catches itEmmy drafts the reply.

  • That deadline you saw coming is tomorrow.

Who catches itFord puts it in your morning brief, days ahead.

  • You never confirmed the doctor's appointment.

Who catches itCallie confirms it and holds the time.

  • The permission slip was due today, and it's still in the backpack.

Who catches itAnthony Butler tracks it.

  • The money plan you made, quietly drifting.

Who catches itPenny keeps to the plan and tracks what's paid and what's coming in.

  • A birthday snuck up, and the card never went out.

Who catches itCallie reminds you a week out; Ford adds it to the list.

  • The registration or passport renewal is quietly expiring.

Who catches itFord keeps the renewals list and nudges early.

  • A friend has been waiting two weeks for your reply.

Who catches itEmmy surfaces it and drafts with extra care.

Now imagine a system that catches those for you.

It notices, reminds you in time, drafts the email, and puts it in front of you for a yes. You still make every call. You just don't have to carry all of it in your head at 2 a.m.

You get to rest easy.

The core idea

Borrow the pattern. Rename the tools.

Time-tested CI tells you what to do and why. AI does more of the doing, remembering and measuring, so the method actually sticks.

Why the marriage works

  • Lean and Six Sigma have decades of proof. Their weak spot was always the upkeep: the tallying, the checking, the remembering.
  • AI is great at exactly that upkeep, and bad at deciding what matters. So the method supplies the judgment calls, and the human keeps the yes.
  • This is my real system, shared so you can build your own. Swap in whatever apps you already use; the order matters more than the software.
Start here

Three steps. No AI required for the first.

  1. Start here

Phases 0–3. The future version of yourself, a one-page living map, where things live, and one simple loop. No AI required yet — and you'll feel the difference.

    Begin with Plan →
  2. Add AI

Phases 4–6. One communicator, one specialist, one glance page. With clear rules about who decides.

    Go to Do →
  3. Make it hum

Phases 7–9. Standing rhythms, a deep-work partner for big one-offs, and teaching it to someone else.

    Go to Act →

Guardrails

The one rule that never changes.

If it leaves the house, it waits for a yes.
  • Poka-yokeDrafts, not sends. Nothing sends, spends, books or deletes without my yes.
  • JidokaStops and asks. When a specialist is unsure, it goes in “Needs you.”
  • AndonFails loud. If something breaks, it tells me plainly.

Steal this this weekend ten small moves

Ten small moves. Do the first five before you touch a single bot.

  1. Write three lines for the future version of yourself — vision, mission, values. Pencil is fine.
  2. Fill a one-page SIPOC. Twenty minutes, not an afternoon.
  3. Pick one cloud home and make three to five lane folders.
  4. Empty Downloads. Adopt the rule: nothing lives there.
  5. Choose one capture inbox — ideally one you can talk to.
  6. Start one AI chat as your communicator. Paste in your three lines.
  7. Write your rule: nothing sends, spends or deletes without your yes.
  8. Give email to one specialist. Drafts and piles only, for two weeks.
  9. Make one glance page — the week, what's waiting on you, your links.
  10. Protect one day for being present, away from screens. The plan waits. So does the inbox.

About

Who's behind this, and why.

Hi, I'm Hallie.

I'm a wife, a mom, and newly a grandmother (Grammy), trying to run a full, faith-first family life without carrying it all in my head. This is the system I actually use, shared so you can borrow the pattern and rename the tools.

Who it's for

Busy people and busy families who want a calmer, more reliable week, with AI as the helper and never the boss. No tech background needed; start with a pencil. And if there's a future version of yourself you're trying to bring forward, this is about building a system around you so you can't help but become that person.
